Tauw has no problem finding talent. However, with over a thousand incoming resumes and hundreds of open applications Tauw has had its challenges with a relative small recruitment department. Treating each application at an individual level and effectively, increases the workload drastically in a growing market.

The challenge

Tauw´s recruitment department needed higher execution and a quicker time to respond once the applicant send in the resume. It took on average 3-4 days before an applicant got response due the process of receiving and internal handling. The HR department recognized that internal paper files traveling through the organizational departments slowed down the response management process and jeopardized branding. Also the response process of internal line managers to candidate profiles was taking too much time. It became critical to optimize the recruitment process in order to reduce the time spend per applicant and the cost per hire. This process needed change, while the regular recruitment business such as interviews were to continue without interruptions.

The project

Tauw chose PeopleXS´ solution because of its ability to quickly meet their specific requirements. The solution was customized with workflows to fulfill the needs of the 5 decentralized businesses that Tauw operates. The roll-out included PeopleXS Portals which where integrated with Tauw´s corporate web site, enabling easy access to to the specific jobs that Tauw offers. Customized mail templates were set up to facilitate each step in the workflow process ensuring a quick and relevant response to the candidate, regardless of the process stage of the application. The process of paper files traveling through the organization and storing CV´s and other candidate data needed to be taken over by the on-line PeopleXS application.

The results

  • Tauw increased the time to hire with 30%
  • Response management was improved dramatically. From 3 to 4 days to a ‘response within a day’ approach
  • Improved tracking: Recruiters are able to easily track the candidates position in the process to answer any incoming candidate or managers calls
  • Automatic correspondence and workflow saves the recruiter many hours per week
  • Recruiters now have the flexibility to work where they want
